Terms and Conditions

These Terms and Conditions govern your use of the LogMate website, application, logbook, reports, integrations, and related services (the “Service”). By creating an account or using the Service, you agree to these terms. If you do not agree, do not use the Service.
1. Who provides LogMate
“LogMate”, “we”, “us”, and “our” refer to the LogMate service operated in the Republic of South Africa. For questions about these terms, payments, or your account, email ruanhat06@gmail.com.
2. Eligibility and accounts
You must be legally able to enter into a binding agreement to use the Service. Provide accurate account details, protect your password and devices, and promptly tell us if you suspect unauthorised access. You are responsible for activity performed through your account, except to the extent applicable law provides otherwise.
3. The Service and your records
LogMate provides tools for recording vehicles, drivers, trips, mileage, fuel, expenses, service events, and related documents. You retain responsibility for the accuracy, legality, and completeness of information you enter or upload, and for keeping copies of records you need. You confirm that you are authorised to submit information about any other person, vehicle, or business included in your records.
4. Reports, calculations, and regulatory use
Distances, fuel calculations, analytics, forecasts, reminders, and exports are provided to assist record keeping. They may depend on information you enter, device sensors, mapping data, or third-party services and may be incomplete or inaccurate. LogMate is not tax, accounting, legal, or financial advice and does not guarantee that a report will satisfy or be accepted by SARS, an employer, an auditor, a court, or another authority. You are responsible for checking records and obtaining professional advice where appropriate.
5. Plans, prices, and payment
Available plans, features, limits, prices, and billing frequency are shown in the Service before you place an order. Paid subscriptions are billed monthly in advance through Paystack unless the checkout clearly identifies a one-time purchase. By confirming a recurring subscription payment, you authorise the displayed recurring charge until the subscription is cancelled or otherwise ends. Payment processing is subject to Paystack’s terms and privacy notice.
A paid feature or export credit is provided only after the payment has been confirmed. Taxes, if applicable, are displayed or handled as required by law. We do not receive or store your full payment-card credentials through LogMate.
6. Cancellation and refunds
You may request cancellation of a recurring subscription by emailing ruanhat06@gmail.com. Send the request before the next scheduled billing date to allow time for processing. We will confirm the effective cancellation date. Unless required by law or expressly stated at purchase, cancellation stops future renewals and does not automatically refund a subscription period or one-time purchase already paid for. This does not limit any cancellation, cooling-off, refund, or other right that cannot lawfully be excluded, including rights under the Consumer Protection Act 68 of 2008 where it applies.
For a duplicate, mistaken, unauthorised, or unsuccessful charge, contact us promptly with the transaction details. Refund eligibility is assessed under applicable law and the circumstances of the transaction. Approved refunds are returned through the original payment method where possible. Paystack may separately apply its own payment-processing terms.
7. Acceptable use
Use the Service lawfully and do not misuse it, interfere with its security or availability, access another person’s account or data without authority, upload malicious content, infringe rights, reverse engineer or copy the Service except where law permits, or use the Service to mislead another person or authority.
8. Your content and intellectual property
You retain rights in content you submit. You grant us permission to host, process, back up, synchronise, and display it as reasonably necessary to provide, maintain, and secure the Service. LogMate and its software, design, name, logos, text, and documentation belong to LogMate or its licensors. You receive a limited, non-exclusive, non-transferable right to use the Service for your own lawful record keeping while your account is active.
9. Third-party services and availability
The Service may rely on Supabase, Paystack, mapping, routing, fuel-price, app-store, browser, and network services operated by others. Their availability and terms are outside our control. We may maintain, change, suspend, or discontinue parts of LogMate when reasonably necessary, and will give notice where required by law.
10. Suspension and account closure
You may stop using the Service and request account closure by contacting us. We may restrict or suspend access where reasonably necessary to protect users or the Service, address misuse or unpaid charges, or comply with law. Before closing an account, export any records you want to retain. Data handling after closure is described in the Privacy Policy.
11. Liability and consumer rights
We take reasonable steps to provide a useful and secure Service, but do not promise uninterrupted or error-free operation. To the extent permitted by law, we are not liable for indirect or consequential loss, loss caused by inaccurate user-entered data, or decisions made solely from an automated estimate or report. Nothing in these terms excludes or limits a right, warranty, or liability that may not lawfully be excluded or limited.
12. Changes to these terms
We may update these terms to reflect changes to LogMate, the law, or our operations. We will publish the current version here and, where a change is material, take reasonable steps to notify users. Continued use after an effective change means you accept the updated terms, except where renewed consent is required by law.
13. Governing law and contact
These terms are governed by the laws of the Republic of South Africa, subject to any mandatory consumer protections that apply. Contact ruanhat06@gmail.com with questions or cancellation requests.
